Executive Assistant 
M-F 8 hours per day
Anchorage, AK (Hybrid)
$60-70K
The Executive Assistant performs administrative duties in support of the leadership team. Responsible for managing phones, mail, scheduling, deadlines, and general office management.
 
Your day-to-day:
  • Screens and directs incoming calls to the appropriate individual or department
  • Manage executives' calendars and set up meetings. Prioritize meeting requests while troubleshooting conflicts.
  • Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information.
  • Assists the Leadership Team with scheduling appointments and maintains updates/changes calendar as needed
  • Performs various clerical tasks utilizing knowledge of office systems and procedures. Types emails, correspondences, reports and presentations as needed
  • Opens routes and/or answers routine correspondences on behalf of the Leadership Team.
  • Provides day-to-day administration through phone, written and face-to-face interactions with all those needed assistance from Leadership Team office
  • Maintains an efficient and organized electronic filing system, and any other pertinent information to the department 
  • Assist with compiling of information and preparing spreadsheets.
  • Design and maintain various databases for contacts, passwords, files and materials.
  • Take minutes during meetings and distribute meeting minutes.
  • Ongoing tracking of sales deadlines and other assignments of the leadership team 
  • Managing client gift deliveries 
  • Prioritizes deadlines and alerts the leadership team of critical tasks 
  • Book and/or schedule leadership team activities (e.g. networking events)
  • Serve as the first point of contact for scheduling and responding to client inquiries 
  • Maintain all office administrative needs (e.g Zoom business account)
  • Special projects and tasks as assigned.
  • On site support as needed
We’re looking for:
  • Education: Bachelors Degree preferred or equivalent work experience.
  • Experience: Minimum of two years in administrative assistance
Knowledge, Skills, and Abilities:
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Must have strong writing and copy review skills
  • Proven ability to work in a fast paced always changing environment
  • Strong computer skills, MS word, Excel and Power Point
  • Detail oriented with a strong attention to detail
  • Ability to work independently to meet deadlines
  • Strong communication and interpersonal skills.
  • Strong problem-solving ability
  • Prioritizes and manages multiple projects simultaneously. Follows through on issues in a timely manner
  • Handle confidential information with sound judgement.
  • Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment
Must have:
  • Microsoft Excel: 1 year (Required)
  • Microsoft Powerpoint: 1 year (Required)
  • Writing skills: 1 year (Required)
  • Microsoft Word: 1 year (Required)
