Our Client transforms the lives of those affected by Alzheimer's Disease and related dementias through critical services, support, and a commitment to enhancing quality of life. They are seeking a friendly, organized professional to be the warm first point of contact for visitors and callers — reporting directly to the COO.

Key Responsibilities

Front Office & Operations

  1. Answer and route incoming calls; welcome and assist visitors
  2. Process mail; perform filing, data entry, printing, scanning, and document preparation
  3. Manage conference room schedules, calendars, and office supplies
  4. Administer SharePoint; maintain organized electronic and physical records
  5. Coordinate with vendors on supplies, equipment, and maintenance
Finance & HR Support
  1. Assist with billing, accounts payable, deposits, and QuickBooks data entry
  2. Serve as backup for payroll processing; support reconciliation and recordkeeping
  3. Conduct employee onboarding/offboarding; maintain personnel files and PARs
  4. Maintain confidentiality of all financial, payroll, and HR information
Events, Donor & Program Support
  1. Attend Board meetings and record minutes; coordinate staff events and gatherings
  2. Maintain donor database; prepare acknowledgment letters and support fundraising
  3. Assist Resource Specialist with client intake as needed
  4. Keep common areas tidy; create a welcoming environment through seasonal decorating

Qualifications

  1. High school diploma or GED required; 2+ years of administrative or office support experience
  2. Proficiency in Microsoft 365 Suite and SharePoint (administration experience preferred)
  3. Experience with QuickBooks or similar accounting software preferred
  4. Strong organizational, communication, and time management skills
  5. Ability to handle sensitive information with discretion and professionalism
  6. Valid Alaska driver's license, clean driving record, and proof of auto insurance
  7. Must pass a state and federal criminal background check
  8. Must have access to a personal vehicle for occasional company business
