Key Responsibilities
Front Office & Operations
- Answer and route incoming calls; welcome and assist visitors, clients, and caregivers
- Process mail; perform filing, data entry, printing, scanning, and document preparation
- Manage conference room schedules, organizational calendars, and office supplies
- Maintain organized electronic and physical records
- Coordinate with vendors on supplies, equipment, and maintenance
Finance & HR Support
- Assist with billing, receipts, receivables, deposits, and accounts payable processing
- Serve as backup for payroll processing in QuickBooks; support reconciliations and recordkeeping
- Coordinate employee onboarding/offboarding; maintain personnel files, anniversaries, and PARs
- Maintain confidentiality of all financial, payroll, and HR information
Events, Donor & Program Support
- Attend Board meetings and prepare minutes; coordinate staff events, potlucks, and gatherings
- Maintain donor database; prepare and mail acknowledgment letters and support fundraising activities
- Assist Resource Specialist with client intake as needed
- Keep common areas tidy; create a welcoming environment through seasonal decorating
Qualifications
- High school diploma or GED required; 2+ years of administrative, office support, or customer service experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Experience with QuickBooks or similar accounting software preferred; basic bookkeeping knowledge a plus
- Strong organizational, communication, and time management skills
- Ability to handle sensitive information with discretion and professionalism
- Valid Alaska driver's license, clean driving record, and proof of auto insurance
- Must pass a state and federal criminal background check
- Must have access to a personal vehicle for occasional company business
