Position Overview
We are seeking a dependable, personable, and organized Front Desk Administrative Assistant to serve as the first point of contact for our office. This role is essential to the smooth day-to-day operations of our team and requires someone who is professional, proactive, and comfortable wearing many hats. Key Responsibilities:
Office Operations
- Open and prepare the office each morning, ensuring the workspace is clean, organized, and ready for the business day
- Manage office supplies inventory and coordinate restocking as needed
- Maintain a welcoming and professional front desk environment at all times
Reception & Client Relations
- Greet and assist all visitors, clients, and guests with warmth and professionalism
- Serve as the primary point of contact for incoming calls, routing inquiries appropriately and taking detailed messages
- Respond to general emails and correspondence in a timely and professional manner
Data Entry & Records Management
- Accurately input and maintain data across internal systems and databases
- Organize and update physical and digital files, ensuring records are current and easy to retrieve
- Assist with basic reporting and document preparation as requested
Social Media & Communications
- Draft, schedule, and publish content across the organization's social media platforms
- Monitor engagement and flag relevant activity to the appropriate team members
- Help maintain a consistent brand voice and posting schedule
Research & Administrative Support
- Conduct research on a variety of topics as directed by management or team members
- Compile and summarize findings into clear, organized reports or briefs
- Provide general administrative support including scheduling, copying, scanning, and mail handling
Qualifications
- High school diploma or equivalent required
- 1–2 years of experience in an administrative, receptionist, or customer-facing role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace
- Familiarity with social media platforms (Facebook, Instagram, LinkedIn, etc.)
- Excellent verbal and written communication skills
- Strong attention to detail and data entry accuracy
- Ability to multitask and prioritize in a dynamic environment
- Professional demeanor and a positive, team-oriented attitude
