Membership & Events Associate
In this position, you will support successful Chamber operations and event execution, in addition to invoicing, onboarding, and retention of existing members.
JOB OBJECTIVE: The Anchorage Chamber of Commerce is one of Alaska's largest, broad-based business organizations, serving more than 750 members with 40,000 employees. The Membership & Events Associate’s duties encompass general day-to-day office management, basic IT support, and accounts payable and receivable processing. This position is also responsible for responding to members’ needs and inquiry requests and maintaining positive rapport at all times. This position reports to the COO.
BASIC SKILL REQUIREMENTS: Exceptional organizational and multitasking skills required. Ability to anticipate needs and offer recommended solutions. Experience with customer service, proactive problem-solving, and note-taking. Excellent time management skills and attention to detail are requirements. Self-starter who works well with a team as well as independently. Knowledge of general accounting practices, comfortable with budgets and financial review processes. Proficiency in Microsoft Office suite and Google Workspace products is required; graphic design tools experience is a plus. Ability to learn and master new cloud-based software platforms.
A valid driver’s license and reliable personal transportation to facilitate work away from the Anchorage Chamber’s usual place of business are necessary. Regular full-time shift expectations are Monday-Friday 8 a.m.-5 p.m., however, the successful candidate must be flexible to accommodate events outside these hours on a scheduled basis to support the organization after hours and/or select Saturdays.
JOB DUTIES AND RESPONSIBILITIES:
Office Management:
- Monitor email inbox respond to and/or forward emails as needed
- Answer the the phone, and help direct calls to the appropriate resource
- Be knowledgeable about Anchorage Chamber benefits, dues, bylaws, and policies
- Responsible for ordering and tracking office supplies
- Ensure equipment maintenance and coordinate with building maintenance
- Works with IT contractor to support and maintain adequate computer system
- Attend and participate in weekly staff meetings
- Maintain board room schedule on the calendar and prepare room for meetings
- Help maintain the kitchen, production station, and common areas in a neat and orderly fashion
Membership Support:
- Manage membership database, facilitating data cleanup and accuracy of records
- Help facilitate membership orientation
- Prepare operational reports for membership, receivables, sponsorship, etc
- Invoice, collect, and process renewal of dues for membership
- Profile and billing reconciliation
Event Support:
- Assist in planning and/or implementing and evaluating aspects of recurring and annual events, including but not limited to accounting, working with A/V equipment, and taking reservations
- Establish meeting dates, create event pages, and send reminder emails
- Assist with on-site check-in and registration at events
Communications Support:
- Act as website content manager in the GrowthZone CMS platform
- Help update and refresh all promotional material
- Act as Municipal Activity Committee Liaison
Accounts Payable / Receivable:
- Maintain and audit deposit logs, monthly statements, billing adjustments, and misc invoicing
- Reconcile payments to ChamberMaster
- Maintain vendor relationships
- Other duties as assigned
