Grants & Contract Coordinator

Agency Overview:
thread is a non-profit agency and the statewide Child Care Resource and Referral (CCR&R) Network whose mission is to advance the quality of early education and child development by empowering parents, educating child care professionals and collaborating with our communities. Since 1986 thread has been supporting families with child care referral services and parent education about child development, and also supporting early educators through training and consultation.
Specific Responsibilities:
The Grants & Contracts Coordinator will manage (coordinate) all phases of thread’s grants and contracts processes, including; managing procurement/solicitation; preparation of formal agreements/documents; securing appropriate authorizations and signatures; performing record monitoring and maintenance; and supporting the processes to ensure compliance of all grant and contract awards. Specific responsibilities include:
1.     Supports thread staff with grant proposal narratives, budgets, applications, contracts, communications, performance reports, and supporting documents in collaboration with thread staff.
2.     Coordinates the approval and submission of thread applications for public and private funds and leads tracking and coordination for reporting compliance.
3.     Facilitates the application process as needed and researches, acquires, and maintains demographic, statistics and resource information to support grant applications and meet funding agency requirements.
4.     Develops and Oversees grant and contract trackers to ensure accurate coding, clear roles and responsibilities, timelines, scope of work deliverables and requirements.
5.     Work with management team to track all grant and contract deadlines and support management of documents to ensure compliance with federal, state and private grants or contracts.
6.     Review and understand all grant award packets, and maintain all grant agreements, receipts, and files.
7.     Ensures grant requests and reports are complete, accurate and timely.
8.     Supports financial audits with grant documentation including monitoring sub-grant documentation
9.     Assist with the creation, implementation, and maintenance of statewide data reports.
10.  Develop and maintain procedures for grants and contracts work and train identified staff on related practices and procedures.
11.  Sub-grants and Sub-contracts:
1.     Maintain files for sub-grants and sub-contracts awarded by thread, including the writing of sub-grants and sub-contracts using approved forms and data systems.
2.     Facilitate Request for Proposal (RFP) process to include soliciting, reviewing and selection process of RFP applications.
3.     Train personnel involved in grant reporting on the reporting process for related grants.
12.  Other duties as assigned.

1.     BA required in business administration, education, child development, social work, or related field.
2.     Prior experience administrating state and private sector grants and contacts, experience with contract administration, subcontracting/granting and grant/contract review required.
3.     Prior non-profit work preferred.
4.     Prior experience or certification with administration of financial or programmatic databases preferred.
5.     Prior experience with technical writing and grants and contracts management required.
6.     Effective communication skills.
7.     Current driver’s license required, Alaska driver’s license preferred.
8.     Must pass background check, and provide references and valid identification.

8.     Ability to work a varied schedule as needed to meet performance measures.

Schedule and Compensation:
  • Position Hours: Monday-Friday, 9am-5pm, other hours as needed

  • Position Type: Full Time, 40 hours/week
  • Classification: Exempt, Permanent

  • Compensation: $52,000 - 56,000 annually
